REAL ESTATE LEGAL ADMINISTRATIVE ASSISTANT

This position reports to our Rochester, NY location

Salary Range: $45,000 – $55,000 (based on experience)


We are seeking a high-energy, detail-oriented Administrative Assistant to support our Real Estate Practice Group. The ideal candidate will be an organized and dependable professional who thrives in a fast-paced environment, has prior experience working in a law firm or professional services organization, and is committed to providing top-tier client service.


Key Responsibilities:

  • Provide administrative support to attorneys and real estate team members

  • Prepare, revise, proofread, and process real estate documentation, including:

    • Transfer documents, including deeds

    • Affidavits

    • Agreements

    • Closing statements

    • Loan documents

  • Schedule closing dates and assist with the loan closing process, including obtaining necessary signatures and preparing closing binders

  • Maintain strong file and document organization practices

  • Calendar important deadlines and dates to ensure timelines are met

  • Collaborate with attorneys, paralegals, and other team members to ensure efficiency and accuracy

  • Provide back-up support across the real estate and litigation teams as needed

What We Are Looking For:

  • Exceptional attention to detail and accuracy

  • Working knowledge of real estate transactions, mortgage banking, title report preparation, and/or background in commercial transactions is a plus

  • Critical thinking skills and ability to prioritize tasks in a deadline-driven environment

  • Excellent written and verbal communication skills

  • Strong organizational and time management skills

  • Proficient in computer applications

  • Reliable, self-motivated, and proactive approach

  • Sound judgment and a strong sense of accountability

  • Team player with a solid work ethic
