REAL ESTATE LEGAL ADMINISTRATIVE ASSISTANT
This position reports to our Rochester, NY location
Salary Range: $45,000 – $55,000 (based on experience)
We are seeking a high-energy, detail-oriented Administrative Assistant to support our Real Estate Practice Group. The ideal candidate will be an organized and dependable professional who thrives in a fast-paced environment, has prior experience working in a law firm or professional services organization, and is committed to providing top-tier client service.
Key Responsibilities:
Provide administrative support to attorneys and real estate team members
Prepare, revise, proofread, and process real estate documentation, including:
Transfer documents, including deeds
Affidavits
Agreements
Closing statements
Loan documents
Schedule closing dates and assist with the loan closing process, including obtaining necessary signatures and preparing closing binders
Maintain strong file and document organization practices
Calendar important deadlines and dates to ensure timelines are met
Collaborate with attorneys, paralegals, and other team members to ensure efficiency and accuracy
Provide back-up support across the real estate and litigation teams as needed
What We Are Looking For:
Exceptional attention to detail and accuracy
Working knowledge of real estate transactions, mortgage banking, title report preparation, and/or background in commercial transactions is a plus
Critical thinking skills and ability to prioritize tasks in a deadline-driven environment
Excellent written and verbal communication skills
Strong organizational and time management skills
Proficient in computer applications
Reliable, self-motivated, and proactive approach
Sound judgment and a strong sense of accountability
Team player with a solid work ethic
